Document processing
Extracting structured data from invoices, delivery notes and purchase orders so they do not have to be re-keyed, with a person approving anything the system is unsure about.
Business process automation for companies in Dubai, Abu Dhabi and across the UAE. We hand the repetitive, error-prone jobs to software, use AI where it helps, and keep a person in the loop where it counts. Your team gets its day back.

Most teams lose hours every week to work that a computer should be doing: copying numbers between systems, retyping invoices, chasing the same updates. We automate those steps and wire them into the tools you already use, so the work just happens.

WebsiteERPAccounts
Moving orders, stock and customer records between your website, ERP and accounting on a schedule or on an event, instead of by export and import.
GatewayBankLedger
Matching payments, settlements and bank lines against the ledger, and surfacing only the exceptions that need a human decision.
OdooReportEmail
Recurring reports assembled and delivered automatically, with thresholds that raise an alert when a number moves outside its normal range.
RequestManagerAudit log
Multi-step approval routing with a full audit trail of who approved what and when.
OdooAIWhatsApp
Overdue invoice reminders and order status messages, drafted in each customer’s language and sent on WhatsApp or email once a person has approved the batch.
This is the automation we build most often. The PDF is read, the bill is filled in, and it stops for a person before anything posts. Scroll down and it runs, or press approve yourself.
| Corrugated boxes 40x30, 500 pcs | 1,250.00 |
| Packing tape 48mm, 60 rolls | 390.00 |
| Pallet wrap, 12 rolls | 336.00 |
| Subtotal | 1,976.00 |
| VAT 5% | 98.80 |
| Total AED | 2,074.80 |
Machine time: about 12 seconds. Your team: one click, after checking it. By hand, the same bill is a few minutes of typing, every time.
Abstract automation talk is easy. These are concrete, and they are the ones that pay for themselves fastest in a UAE business.
Your gateway pays out in batches, and the payout never matches the invoices one to one because fees, refunds and chargebacks are netted off. Somebody usually reconciles that by hand in a spreadsheet.
The settlement file from Network International, N-Genius, Telr, PayTabs or Magnati is pulled automatically, matched against the invoices and payments in Odoo, and posted. Only the exceptions reach a person, with the reason attached. The daily job goes from an hour of matching to a short look at the handful that did not match. This sits on top of the payment gateway integration itself, and we go through the accounting side of it in payment reconciliation in the UAE.
Bills arrive as PDFs by email, in every layout their sender felt like using, and get retyped into the accounting system.
The mailbox is watched, the document is read by AI, and a draft bill appears in Odoo with the supplier, TRN, line items, VAT and due date already filled in. Your accounts person approves or corrects it rather than typing it, straight into Odoo accounting with UAE VAT configured properly. The correction step stays deliberately, because a supplier bill posting itself unreviewed is how you end up paying a duplicate.
An order lands on WooCommerce, gets re-keyed into Odoo, stock is adjusted separately, and the customer emails to ask where it is.
The order flows straight into Odoo, stock moves with it, and the customer gets a WhatsApp message when the status changes. Nobody re-keys anything and the where-is-my-order emails largely stop. If you are running the shop on WooCommerce today, moving WooCommerce onto Odoo is often the cleaner version of the same fix.
A lot of what gets sold as AI automation is a rule with better marketing. We would rather tell you which is which, because the wrong choice costs you money in both directions.
Reading a hundred supplier invoices that all look different. Deciding which inbox message is an order, a complaint or a question. Drafting a reply that somebody then edits. Pulling the delivery address out of a paragraph a customer typed badly. A fixed rule cannot survive that kind of variation, and writing one that tries usually produces a system nobody can maintain.
Calculating VAT. Totalling a statement. Deciding whether an invoice is overdue. Matching a reference number. These have one correct answer, a rule gets it right every time and costs nothing to run, and putting a language model in the middle adds expense and a small chance of confident nonsense. We do not do that.
Anything that spends money, commits to a customer, or is hard to reverse keeps a human approval step. The automation does the gathering, the checking and the drafting. The decision stays with your team, which is also what keeps the system trusted enough to actually get used.
| What matters | Manual | Rules based automation | AI assisted |
|---|---|---|---|
| Speed | Slow | Fast for fixed steps | Fast, handles variation |
| Handles messy input | Yes, but slowly | Poorly | Well, with a review step |
| Setup cost | None | Low to moderate | Moderate |
| Error rate | Human error | Very low on clean input | Low, with human checks |
| Oversight | Full | Little needed | A person approves the calls that matter |
| Best for | Rare, one off tasks | High volume, consistent work | High volume with exceptions |
There is also a limit to what automation should be asked to carry. When the process itself is the thing that does not fit, wiring tools together only hides it, and the honest answer is either a properly configured Odoo ERP or a piece of custom software built for the job.
There is no single right automation platform, and anyone who only ever recommends one is recommending the one they know. We pick per job, based on where your data already lives and who has to maintain it afterwards.
For most of the serious work. It can run on your own server, which matters when the data is financial or customer records, and it does not charge per task, so a high volume workflow does not get more expensive every month.
When the job is connecting two cloud apps quickly and the volume is modest. Faster to stand up, and easy for your own team to adjust later.
When you are already on Microsoft 365, because approvals, SharePoint and Teams are where the work already happens and adding another tool would be friction for no gain.
Such as Python or an Odoo module, for when the logic is genuinely specific to your business. A workflow tool is the wrong place to hide complicated rules that only you have.
For reading messy documents, classifying them and drafting text. These are the parts where input varies and a fixed rule would break.
Where you are already on Odoo and the built in OCR is enough. It is usually cheaper than adding a separate service for the same job.
What connects all of this is the integration work: REST APIs, webhooks and scheduled jobs into Odoo, your payment gateway, WooCommerce, your bank feed and WhatsApp. That plumbing is the part that decides whether an automation survives contact with a real business.
We are based in Dubai and work on site across the UAE, because mapping a workflow goes faster around a table than on a call. Most of this is remote once the mapping is done.
Move the sliders to match your team. It is a rough number, and the point is to see whether a proper look is worth it.
Assumes 46 working weeks and that about 60 percent of the repetitive work can be automated. We give you a real figure after looking at the actual workflow, and sometimes that figure is not worth the project.
Get a free reviewRepetitive, rule based work: invoice and document processing, syncing orders and data between systems, reconciliation, recurring reports and alerts, and multi step approvals.
No. We automate the mechanical steps and keep a person in the loop for the decisions that need judgement. Your team spends less time on copy and paste and more on real work.
Yes. We wire automation into the tools you already use, such as your website, ERP, accounting and payments, so data moves instead of being re keyed.
AI helps read documents, sort and draft, and flag things that look off. A person still approves the calls that matter, so you get the speed without losing control.
Tell us the task and roughly how often it runs. We will tell you honestly whether automating it pays off or whether it is better left alone.
It depends on the job. We use n8n for most serious work, because it can run on your own server and does not charge per task, which matters at volume. Make or Zapier when the job is connecting two cloud apps quickly. Microsoft Power Automate when you are already on Microsoft 365. And custom Python or an Odoo module when the logic is genuinely specific to your business.
Yes, and we often recommend it. n8n can be self-hosted, which means financial records and customer data stay on infrastructure you control rather than passing through a third party platform. It also removes per-task pricing, so a workflow that runs thousands of times a month does not get more expensive as you grow.
No, and we would rather say so. AI earns its place where the input varies, such as reading supplier invoices that all look different or sorting inbound messages. Where the answer has to be exact, like calculating VAT or matching a reference number, a plain rule is cheaper, faster and cannot be confidently wrong. We use rules there.
Sometimes the honest answer is that it is not, and we will say so rather than sell you a project.
